What Each Column Does
- Rack and position: the physical coordinates. Keep one direction consistent.
- Wine and producer: enough label identity to search later.
- Vintage: the harvest year, kept separate from the wine name.
- Quantity: bottles in that exact position or grouped row.
- Drink from and drink by: a practical window, not a quality score.
- Cost: what you paid, distinct from any estimated current value.
- Note: bottle size, purchase source, condition or occasion.

Keep the Sheet Maintainable
One record should have one clear location. If six bottles of the same wine sit in two racks, use two rows. That makes moving or consuming one group possible without an ambiguous position cell.
Record changes as they happen. A spreadsheet that is updated during a yearly audit is a historical guess; a sheet updated when a bottle leaves remains an inventory.
When to Move Beyond a Spreadsheet
A sheet is excellent for portability and control. It becomes awkward when you want label scanning, bottle photos, live drinking windows, readiness alerts, food pairing or drag-and-drop rack moves.

Track purchase price for budgeting. Add a separate current-value field only if insurance, resale or investment reporting matters. Do not overwrite one with the other because they answer different questions.
Clean one row per wine and location, standardise dates and quantities, then export CSV. Test a small import first and check multi-bottle quantities, consumed bottles and rack positions before moving the full file.
